<h1 style="text-align: center;">Scott Hanselman's - PSO</h1> <h1 style="text-align: center;">Personal System of Organization</h1> <h2>[WHAT]</h2> <ol> <li>] in this podcast, Rey Bango, a colleague of Scotts at MSFT, interviews Scott on his personal systems of organization(PSO).</li> <li>] how do you ?? keep track of all things that are going on in your life / keep organized / manage all the different projects that your working on</li> </ol> <h2>[WHY]</h2> <ol> <li>] looking at the evolutions of Hanselmans PSO system over time. here is a breif summary of the content of this PODCAST(circa 2011)</li> </ol> <h2>[WHERE]</h2> <ol> <li><strong>[EVOLVE] Scotts systems is "always changing", </strong></li> <ol> <li>] Scott's always talking to people, even strangers, interviewing people(about 'their PSO'), asking them what they do</li> </ol> <li><strong>[CAPTURE] Scott is still "syncing to paper" - </strong>the more hectic/more chaotic/more unorganized things get, the more he uses single peice of paper, he carries it around with him, in his moleskine (mole skeena - uses 2, small and large)</li> <ol> <li>] with his <span style="text-decoration: underline;">fisher space pen</span></li> </ol> <li><strong>[CAPTURE] the #1 most important aspect about keeping organized is to able to CAPTURE stuff as it happens</strong></li> <ol> <li>] there's the "getting things done" aspect, but also THE "capture stuff as it happens aspect"</li> <li>] ex "wife calls and asks get milk", where do you capture that , reys wife uses the bb task manager,</li> <li>] reys like pen+paper, COMPLIMENTS with windows phone, outlook</li> </ol> <li><strong>[CAPTURE] to your "system", whatever "system" you use, you have to "trust it" and "be happy with it"</strong></li> <ol> <li>] GTD didnt work for Rey, it didn't feel natural to him, Rey also developed his own hybrid system of different systems</li> </ol> <li><strong>[ORGANIZE] breaking things up - over time</strong></li> <ol> <li>] very short term (next few days)</li> <li>] short term (weeks, month)</li> <li>] longer term ( year)</li> </ol> <li><strong>[ORGANIZE] progression - sense of movement over time</strong></li> <ol> <li>] conscious awareness of time and how time moves, how much time between now and ___</li> <li>] wants to where he is going to be at a given time</li> <li>] doesnt like digital watches because he doesnt get a sense of distance between 1pm - 5pm</li> <li>] then he 'chops that time up" using the ..</li> </ol> <li><strong>[FOCUS] pomodoro system</strong></li> <ol> <li>] goal of a pomodoro is to focus, aka 'sprint' on a single task for 25 minutes</li> <li>] the challenge is to do the task for the entire 25 minutes without any internal or external interruptions</li> <li>] pomodoro system tries to teach you awareness of time and how you move through it</li> <li>] sideeffect goal/result of the system is to help you identify what your 'internal' and 'external' interuptions are, and then try and eliminate them</li> <li>] think about your tasks in how many 'pomodoros' it will take you to complete them</li> <li>] whats the best way to manage external distractions</li> <ol> <li>philosopy - do for several days, measure interruptions ( ex 10 times every .5 hour),</li> <li>first recognize your interruptions, second decide what your going to do about them</li> <li>shut down email, (twitter,fb,what have) shut down messenger, turn off phone, DND sign on your door</li> <li>whats great about a pomo, is that its only 25 minutes, shouldnt be too hard to work/focus for 25 minutes</li> <li>scott schedules meetings with himself, shuts everything off, blocking</li> <li>internal interuptions - your brain says ..., alt + tab to exit work task for ..., RECOGNIZE these, then take action ASK is this moving the ball forward</li> </ol> <li>] pomo system helps him deal with a sense of guilt when hes feeling that he hasnt "got things done", accomplished nothing,</li> </ol> <li><strong>[REVIEW] dont guilt yourself for burning a day</strong></li> <ol> <li>] everybody burns a day, where it becomes a problem is when your burning every day</li> <li>] setting a sense of whats a reasonable amount of work you can get done in a day</li> <li>] est 5-6 hours of work in a day after bath/breaks/lunch</li> <li>] make little sprints and see homw</li> <li>] easiser to manage smaller compartments of anything</li> </ol> <li><strong>[TOOLS] uses 4 different systems</strong></li> <ol> <li>] covey - quadrants - urgent+important, important not urgent, FOR categorizing time</li> <li>] GTD - capture - trusted system, empty your brain of all things that could potentially cause you psychic weight, FOR releasing things</li> <li>] POMODORO -</li> <li>] gettingresults.com - JD Meir - agile system of organization applied to yourself</li> </ol> <li><strong>[GOALS] follows the rule of 3 "things" you would like to get done</strong></li> <ol> <li>] plan for your EVERY day, ] 3 things you would like to accomplish today, +] 3 things nice to get done +] 3 you probably wont get done </li> <li>] also for your WEEK, MONTH, YEAR</li> <li>] scott uses one note to track these</li> <li>] OPPOSITE of guilt is accomplishment/feeling of success</li> <li>] have a PLANNING SESSION - <strong>monday vision</strong> -</li> <li>] have a REVIEW SESSION - <strong>friday reflection</strong> - ] what you accomplished, ] what was easy, ] net effect ] not accomplished ] reason not able to </li> <li>] sum = whats going well , what not , how can i help,</li> <li>] NEED SYSTEM especially with many moving targets, what are your goals, how are you going to reach them</li> <li>] recommends "setting boundaries" - set mins and maxs, 3 hours per week ON fitness, 8 hours ON relationships, 50 hours on work, - adjusting the progress</li> </ol> <li><strong>[ORGANIZE TRAVEL]</strong></li> <ol> <li>] before you go</li> <ol> <li>] batteries are charges, kids have what they need for school, leaky faucets are fixed, ...</li> </ol> <li>] printed itinerary for wife/family & yourself</li> <ol> <li>] connections -
